Access Control
The Importance of Visitor Management
Magnetic Security editorial team ·

Most organisations know who works for them. Fewer know who is inside their building at any given moment. Visitor management closes that gap.
Why it matters
Unrecorded visitors can steal, disrupt or simply get lost in a restricted area. In an emergency, you also need to know who has to be accounted for.
The basic steps
- Ask visitors to state who they are visiting and why.
- Confirm with the host before entry.
- Record name, organisation, time in and time out.
- Issue a pass that is returned on exit.
- Escort visitors to sensitive areas.
Contractors and deliveries
Contractors often have more access than anyone else. They should be registered, briefed on site rules and, if they work for several days, given time-limited credentials.
Privacy
Visitor records contain personal data. Collect only what you need, store it securely and delete it when it is no longer required. The Data Protection Act, 2019 applies.
People and process first
A trained front-office officer who follows a written procedure is more useful than an expensive system with no process. Technology can then speed up registration and keep better records.
